Position Overview: We are looking for a motivated and detail-oriented individual to assist in the role of Construction Contract Administration and some Bookkeeping duties, and to learn our business and grow into a leadership role.  A background and understanding of double entry bookkeeping, job costing, and assistance in hiring, obtaining material and sub quotes, submittals and general office work is preferred.

Key Responsibilities:

  • Bookkeeping (Sage 100 Contractor): Handle all bookkeeping tasks pertinent to our operations, including payroll, employee taxes, HR record-keeping, bank/credit card account updates, and AIA billing and collections.
  • Project Administration: Lead administrative efforts in project management, including obtaining quotes from vendors and subcontractors, issuing purchase orders, managing submittals, and overseeing AIA billing and payments.
  • Bid and Marketing Management (HubSpot): Take charge of new lead tracking, marketing initiatives, and bid calendar setup and tracking, ensuring all opportunities are adequately pursued and managed.
  • Estimate & Bid Preparation: Responsible for the setup and management of estimate and bid files, including downloading and organizing bid documents through eTakeoff and Sage 100 Contractor software.

Required Skills & Experience:

  • Exceptional communication skills, both verbal and written.
  • Advanced proficiency with Windows-based computer systems and applications.
  • Solid background in bookkeeping, with specific experience in Sage 100 Contractor preferred.
  • Experience in HR recruiting, records management, and a keen understanding of the construction or painting contracting industry.

Hourly Rate/Salary Range

$19.00 – 22.00 / Hour
